Inactive Account Policy

SquadUp is built to remember useful progress, history, and setup for people who come back later.
At the same time, long-abandoned accounts can create privacy risk and unnecessary storage cost. To keep the service sustainable, Mavaro Systems LLC may clean up accounts that have been inactive for a long time.
What Counts As Inactive
An account may be considered inactive when there has been no meaningful account activity for an extended period.
Examples of meaningful activity include:
- signing in
- opening the app while signed in
- creating, editing, or completing items
- managing account settings
- maintaining an active paid subscription
Current Cleanup Direction
Inactive-account cleanup is a policy direction for reducing privacy risk over time. It should not be read as a guarantee that automated inactive-account deletion is active in every build or that deletion will occur on an exact date.
Our intended inactive-account cleanup policy is:
- active paid Pro accounts are not intended to be deleted for inactivity while the paid subscription remains active
- inactive Free accounts may be scheduled for cleanup after approximately 12 months of inactivity
- former Pro accounts may receive a longer grace period, currently approximately 24 months of inactivity
- accounts are not intended to be deleted silently for inactivity
- we intend to provide notice before inactive-account deletion when we have a working contact method
These timelines may change as the product grows, and timing may vary for legal, security, abuse-prevention, payment, operational, support, or technical reasons. The goal is to stay clear, fair, and predictable without promising exact deletion timing before the systems are fully available.
Notice Before Deletion
Before deleting an inactive account for inactivity, we intend to provide advance notice when we have a working contact email or other supported contact method.
The intended notice flow, where supported, is:
- first notice approximately 30 days before deletion, where practical
- final reminder approximately 7 days before deletion, where practical
- deletion after the notice window if the account remains inactive
Where inactive-account cleanup is active, signing in before the deletion date is intended to cancel the pending inactive-account deletion.
What May Be Deleted
Inactive-account deletion may remove user-owned account data such as:
- tasks
- checklists
- reminders
- habits
- calendar-linked SquadUp items
- focus history
- lifecycle memory/history
- app settings and setup data
Some limited records may remain where required for legal compliance, fraud prevention, payment-provider obligations, security, or abuse prevention.
Pro History And Downgrades
SquadUp may keep more account history for Pro users while the account exists.
If a user downgrades from Pro to Free, we do not intend to immediately delete Pro-era history just because of the downgrade. However, if the account later becomes long-inactive, the account itself may still become eligible for inactive-account cleanup after notice.
Export Before Deletion
Where export is supported in the current build, users should export important data before deleting an account or before an inactive-account deletion date.
If export is not available for your account state, contact support before the deletion date.
How To Keep Your Account
To help keep an inactive account from being deleted:
- Open SquadUp.
- Sign in to your account.
- Confirm that your account opens normally.
If you received an inactive-account deletion notice and believe it was sent by mistake, contact support before the deletion date.
